Payment & Billing Policy

Vertex Industrial Solutions
Country: South Africa
Currency: South African Rand (ZAR)

1. Introduction

Vertex Industrial Solutions is committed to providing customers with a transparent, secure, and reliable payment experience.

This Payment & Billing Policy explains our accepted payment methods, payment verification procedures, invoicing, VAT treatment, order confirmation, refunds, and billing responsibilities.

This policy applies to purchases made through our official website and authorised sales channels.

2. Accepted Payment Methods

Vertex Industrial Solutions currently accepts Electronic Funds Transfer (EFT) as its payment method.

Customers may pay using:

  • EFT through their banking application

  • Internet banking

  • Direct bank transfers

  • Bank branch transfers, where supported by their financial institution

We currently do not offer cash on delivery or payment upon collection.

Orders must be paid in full before dispatch or collection unless a separate written payment arrangement has been approved.

3. Currency and VAT

All prices are displayed in South African Rand (ZAR).

Vertex Industrial Solutions is VAT-registered, and all advertised product prices are inclusive of applicable VAT.

The applicable VAT amount will be reflected on invoices where required by South African tax legislation.

Delivery charges and other applicable fees will be clearly disclosed before payment.

There will be no undisclosed mandatory charges added after the customer has completed an order.

4. Quotations and Price Validity

Formal quotations issued by Vertex Industrial Solutions are valid for 7 calendar days from the date of issue unless otherwise stated.

A quotation may include:

  • Product description and model number

  • Quantity

  • Unit price

  • Total price, including VAT

  • Delivery charges, if applicable

  • Delivery destination

  • Estimated delivery timeframe

  • Payment instructions

  • Quotation validity period

Acceptance of a quotation remains subject to stock availability and the terms stated in the quotation.

5. Payment Confirmation

Customers must use the correct order or invoice number as their EFT payment reference.

After making payment, customers may submit proof of payment through our official customer support channels.

Please note:

  • Proof of payment does not necessarily mean funds have cleared.

  • Payments must be verified before orders are released.

  • Verification times depend on the sending and receiving banks.

  • Orders will be processed after successful payment confirmation.

We may contact customers if additional information is reasonably required to identify a payment.

6. Payment Verification Timeframes

Payment verification normally takes:

Payment TypeEstimated Verification Time

EFT within the same bankUsually within 1 business day

EFT between different banksUsually 1–2 business days

Immediate paymentOften within the same business day, subject to bank verification

Payments requiring manual investigationMay take longer

These are estimates rather than guaranteed bank processing times.

Our standard order processing period begins after successful payment confirmation.

7. Unpaid Orders

Orders placed using EFT remain pending until payment is received and verified.

Unpaid orders expire after 3 business days unless a different payment deadline has been agreed in writing.

If an unpaid order expires:

  • The order may be cancelled.

  • Reserved stock may be released.

  • The customer may place a new order.

  • Current prices and availability will apply to the new order.

Customers who have paid but whose payment has not yet been matched to their order should contact customer support with their payment reference.

9. Order Processing and Delivery

After payment confirmation, standard in-stock orders are normally processed within 1–2 business days.

Our standard total estimated delivery timeframe is 2–9 business days, including processing and transportation.

Special-order or oversized equipment may require additional time, which will be communicated before purchase.

9. Shipping Charges

Orders of R10,000 or more qualify for free standard delivery within South Africa, subject to disclosed exclusions for specialised freight, oversized goods, or remote locations.

Orders below R10,000 may incur delivery charges.

12. Payment Security

We take reasonable measures to protect customers against payment fraud.

Customers should:

  • Use only banking details supplied through our official channels.

  • Verify any unexpected changes to banking instructions.

  • Avoid sending confidential banking credentials by email or WhatsApp.

  • Retain their payment confirmation.

  • Contact us immediately if suspicious payment instructions are received.

If a customer receives a request to pay into an unfamiliar account, they should independently verify the details using a previously established official contact channel before transferring funds.

13. Fraud Prevention

We reserve the right to investigate transactions where there is reasonable evidence of fraudulent activity.

Orders may be temporarily placed on hold while payment or identity verification is completed.

Where fraud is suspected, we may cooperate with relevant financial institutions and lawful authorities.

Customers will not be deprived of statutory refund or consumer rights.

14. Duplicate or Incorrect Payments

If a customer accidentally makes a duplicate payment or transfers an incorrect amount, they should contact us promptly.

We will investigate and reconcile the payment.

Verified overpayments or duplicate payments will be refunded to the original payer through a secure and appropriate method.

We aim to initiate approved refunds within 5 business days after verification, unless an applicable law requires a different timeframe.

15. Refunds

Refunds are governed by our Returns & Refunds Policy and Cancellation Policy.

For approved voluntary refunds:

  • Refunds will normally be initiated within 5 business days after approval.

  • Refunds will generally be transferred to a verified bank account belonging to the original purchaser.

  • Bank processing may take an additional 2–5 business days.

  • Statutory refund deadlines take precedence over our internal targets.

We do not charge a refund administration fee for qualifying statutory refunds.

16. Order Cancellations

Customers may request cancellation before dispatch.

Eligible standard-stock orders cancelled before dispatch will be refunded without a cancellation fee.

Custom-made or specially ordered equipment may be subject to reasonable lawful cancellation charges.

Customers retain all mandatory cancellation rights under applicable South African legislation.

17. Deposits and Special-Order Equipment

Certain custom-built or specially sourced products may require a deposit or another agreed payment arrangement.

Where applicable, the quotation will clearly specify:

  • Deposit amount

  • Remaining balance

  • Payment due dates

  • Manufacturing or sourcing period

  • Cancellation conditions

  • Any reasonable lawful charges

No deposit arrangement will override mandatory statutory consumer rights.

18. Payment on Collection

Warehouse collection is available only for eligible products and by confirmed appointment.

Full payment must be received and verified before collection.

Customers must present their order number and proof of payment when requested.

We do not accept cash payments at the warehouse.

19. Payment Disputes

If a customer believes a payment has been incorrectly processed or allocated, they should contact our support team.

We aim to acknowledge payment disputes within 2 business days and investigate them promptly.

Customers may also contact their bank where appropriate.

20. Consumer Rights

Nothing in this policy limits rights available under the Consumer Protection Act, Electronic Communications and Transactions Act, or other applicable South African legislation.

Where a provision conflicts with mandatory law, the relevant legal requirement will prevail.

21. Changes to This Policy

Vertex Industrial Solutions may update this Payment & Billing Policy to reflect changes in banking arrangements, business operations, or legal requirements.

Any changes will be published on our website.

Updated terms will not retrospectively alter completed transactions or remove statutory rights.
